Clerical Assistant

Job purpose

  • Receive delivery notes, load materials, dispatch trucks, upload information/ documentation into ERP, and process sales orders.

Responsibilities

Documentation, reporting & record keeping

  • Complete goods receipt notes and carry out material verification.
  • Generate sales orders.
  • Generate picking lists, packing list, load plans, sales invoices and de-shroud notices.
  • Obtain signoff on finished goods from the Pharmacist prior to distribution, for materials only required for scheduled items.
  • Book the goods into the ERP System
  • Send Stores receipt note and purchase orders to Finance and the Lab
  • Assist in gathering the information required for reporting in department or area of technical expertise.
  • Compile detailed and standardized reports and consolidate documents.
  • Retrieve supporting documentation and records to facilitate and support query resolution.

Investigating

  • Prioritize issues and orders.
  • Determine the cause of damaged goods.
  • Escalate unknown causes to the superior
  • Track down mislabeled products and correct the labelling thereof.

General office support/Administrative support

  • Coordinate project and office services.
  • Perform advanced administrative, operational, customer support and computational tasks (such as, basic data analysis, report and document development, complex report preparation, content development, meeting planning and advanced research). 

Plan & process

  • Coordinate and provide input into work activities and priorities.
  • Monitor adherence to schedules.
  • Provide recommendations to management on improvement in processes.
  • Provide guidance to and/ or assists others with work activities.
  • Check own work.

Stakeholder relations

  • Communicate with internal stakeholders to achieve work objectives and to maintain relationships.
  • Communicate with employees and management, to assist and convey information.

Requirements

Skills Required

Background/experience

  • 1-3 years’ experience in an administrative role
  • Minimum of a 2-year Diploma in Administration

Safety and Risk Administrator

OBJECTIVE: To identify, monitor and report potential Safety and Security risk in support of SHE department with general administrative tasks. 

KEY RESPONSIBILITIES:

Operational Activities:

  • Is accountable and responsible to ensure compliance with ECW Safety and Security standards.
  • Supports SHE management system in line with ECW strategic objectives.
  • Oversees access control and all related operations.
  • Monitor the use and maintenance of assets and resources.
  • Obtain intelligence information from key role-players to mitigate and prevent adverse condition.
  • Identify threats and opportunities in the fleet management system.
  • Supports the emergency response process and ensure emergency equipment is fit for purpose.
  • Support the management of special projects and ethics for sensitive investigation. 
  • Identify and investigate property and liability losses.
  • Provide and coordinate systematic and dependable support services to all functional discipline.
  • Proactively identify trends and activities within the CCTV system that can place business operations at risk.
  •  Conduct SSHE Induction Capture training registers on visitors and manage contractor portal.
  • Comply with all GWP and standard operating procedures and regulations.  
  • Human Resources (Compliance to Labour Legislations and In-house Best Practice)
    • Familiarise yourself with at all times act in accordance with the company policies and
      procedures
  • GDP/GWP Compliance
    • Complete all records and reports timeously and accurately as described in the relevant SOP’s, protocols and associated documentation.
    • Comply with GDP/GWP requirements as outlined by company SOP’s and written instructions in all tasks and activities.
    • Ensure that products are stored according to the required SOP’s and documentation.
  • Health, Safety and Environmental Standards
    • Carry out any duty or requirement imposed on the company by the OHS Act and in accordance with your specific SHE appointment as and when required.
    • Report any unsafe or unhealthy situations to SHE representative or Line Manager
    • Report any incident to the SHE representative or Line Manager which may affect your health or cause injury.

Requirements

EDUCATION & EXPERIENCE

  • Matric/Grade 12
  • Computer Literate
  • 1-3 years in safety and administrative experience within Pharmaceutical Distribution sites.
  • Health, Safety and Security training. 

Direct Sales Representative

OBJECTIVE: To promote and generate sales on key product portfolios to pharmacies on both ethical and generic ranges. In addition to mentioned objective, the position will also be responsible for building and maintaining strong business relationships with pharmacy decision makers, in order to drive net sales revenue.

KEY RESPONSIBILITIES

  • Achieve and exceed set sales targets and market share objectives.
  • Effective implementation of sales and marketing strategies.
  • Effective management of the regional territory by means of planning, territory analysis, customer targeting and call coverage of identified customer base. 
  • Establishment of positive relationships (mutual trust and respect) with customers and other stakeholders.
  • Manage key customer sales and effective relationship management.

Requirements

EDUCATION & EXPERIENCE

  • Matric qualification.
  • Tertiary qualification would be advantageous.
  • 1-2 years proven sales track record is essential.
  • Previous basket experience/exposure would be an advantage. 
  • Valid driver’s license and own vehicle.
  • Existing relationships with key customers in the territory would be advantageous.

SKILLS AND KNOWLEDGE

  • Product knowledge on both Aspen and competitor products.
  • Effective territory management.
  • Knowledge of basic financial calculation i.e. Gross Margins, mark-ups.
  • Analysing of Aspen in house data and external data sources.
  • Strong ability to effectively communicate with both internal and external customers. 
  • Administration skills – ability to comply with the required administration standards associated with this position. 
  • Ability to work under pressure, to set priorities and to demonstrate time management skills. 
  • Creativity and flexibility – the ability to work in a changing environment and to adapt to different situations.
