Office Manager

POSITION OVERVIEW:

Responsible for coordinating project activities, maintaining project documentation and ensuring efficient communication among project team members and stakeholders. Providing business support to the office of the CIO, overall ensuring efficient and effective administration processes and procedures.

RESPONSIBILITIES:

ICT Office/Project Management

  • Manage, track and co-ordinate the various projects within the ICT department
  • Monitor the delivery dates, and communicate any changes in projects or expectations
  • Prioritise and track project delivery, ensuring correct stakeholders are informed and udpated
  • Receive and respond to queries, that come through relating to the ICT projects
  • Ensure all projects are aligned with NSFAS policy requirements
  • Identify challenges and ensure these are communicated timeously to the relevant stakeholders
  • Track the implementation of identified projects within the CIO’s Office support programmes
  • Analyse and interpret project reports on completion of the project to evaluate return on investment and to inform decision-making in the unit

Administrative Support and co-ordination of Core Strategic Objectives

  • Assist with the administrative support of the implementation of the CIO’s Office strategic plans
  • Maintain project documentation, including project plans, status reports, meeting minutes and other relevant documentation
  • Act as the liaison between the CIO and other executives, clients, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time
  • Ensure documentation is organised, up-to-date and accessible to project team members and stakeholders
  • Coordinate strategic business initiatives and provide administrative support, to ensure completion
  • Supervise daily operations and help oversee identified projects
  • Document the identified business strategies and policies as confirmed by the CIO and Board Executives, ensuring communication to the necessary stakeholders
  • Ensure the correct and identified administrative procedures are implemented within the business unit; proper filing system, records of all internal and external correspondence, proper recording of supplier requisitions
  • Manage Purchase Orders, reconciling against what has been invoiced and correct allocation to correct project
  • Track and prioritise contract updates and renewals, ensuring the spend is aligned with correct cycles and budget requirements

Reporting and Dashboard Development

  • Identify reporting requirements, to best track and monitor the various projects within the ICT department
  • Ensure correct and accurate collation of reporting information to business on identified
    challenges and pain points
  • Gather correct information from the various teams within ICT and compile weekly and monthly
    reports, that identify current projects, the status of each project as well as any pain points
  • Update and maintain the PO report, ensuring all supplier contracts are correctly detailed and
    invoiced correctly reconciled against budget

Collaboration and Communication

  • Facilitate communication among project team members, stakeholders and external partners
  • Provide regular updates on project status, risks and issues to the CIO and other stakeholders
  • Address inquiries and requests from stakeholders in a timely and professional manner
  • Ensure regular communication, is provided to both the internal ICT team as well as relevant external stakeholders regarding updates or changes to projects
  • Manage the receiving and tracking of any tender documentation, ensuring in line with NSFAS policies
  • Collaborate with relevant stakeholders, facilitating the ongoing support to the various units and institutions
  • Communication and manage the maximisation of ICT staff expectations with the NSFAS ongoing CIO’s Office support programmes in line with the departments strategic objectives

Continuous Improvement

  • Stay abreast of emerging technologies and trends in the IT industry
  • Ensure regular evaluation of new technologies for potential adoption, considering their potential benefits, risks, and alignment with organizational objectives
  • Identify improvement in processes and procedures, where necessary to limit challenges

Risk and Compliance

  • Forecast activities and projects against deadlines and budget
  • Ensure all approved projects are delivered in line with NSFAS requirements
  • Ensure all PO’s are reconciled against agreed and approved Purchase Order numbers
  • Review, reconcile and recommend the CIO’s Office support payments and recover any overpayments
  • Monitor and manage the procurement elements, ensuring best practice is implemented and all items procured are in line with NSFAS requirements
  • Ensure all correct documentation, in the event of an Audit

Information & Knowledge Management

  • Collaborate with stakeholders to use their experience, education and understanding to obtain
    knowledge from this information

Minimum requirements:

  • NQF 7 in Project Management, Business Administration or equivalent qualification
  • 5+ years’ experience and exposure in dealing with positions such as CIO/CDO/CTIO strategic
    office management position or in a similar environment.
  • Proven experience in ICT Project Management
  • Experience in ICT Operations
  • Exposure budget planning and procurement
  • IT Methodologies i.e. Agile, Waterfall

Preferred:

  • ICT Governance of Enterprise (CGEIT)
  • PFMA, DBSA, Audits Risk, Compliance related to ICT

Data Migration Specialist

POSITION OVERVIEW:

The incumbent will be responsible for planning, executing, and managing the process of transferring data between storage types, formats, or computer systems. Playing a critical role during system upgrades, consolidation, or transition to new systems, requiring careful planning to ensure data integrity. Minimize data loss and reduce downtime.

RESPONSIBILITIES:

Data Migration/Data Planning

  • Develop comprehensive data migration plans, including timelines, resources and tools required for successful data migration.
  • Analyse the structure, dependencies, and quality of the data to be migrated.
  • Together with identified stakeholders, prepare the data for migration by cleaning, de-duplicating and ensuring compatibility with the new system/s.
  • Design and implement effective migration processes using ETL (Extract, Transform, Load) tools or custom scripts.
  • Execute the migration according to the approved plan, while ensuring data integrity and accuracy
  • Conduct thorough testing of the migrated data to ensure it is accurately transferred and fully
    functional in the new environment.
  • Validate the completeness and accuracy of the migration with identified stakeholders.
  • Continuously monitor and optimised data migration processes to improve efficiency, reliability and performance, ensuring timely and accurate delivery of data to end-users
  • Contribute to the development of strategies to improve data migration, analysis and reporting
    processed within across departments/stakeholders.

Reporting and Documentation

  • Provide clear and concise reports to stakeholders, highlighting key findings and recommendations.
  • Maintain detailed documentation of the migration process, including data mappings, transformation rules and any issues encountered.
  • Report on the progress and outcomes of the migration project/s to stakeholders.
  • Responsible for documenting migration processes, configurations and workflows as well as generating reports to track performance metrics, KPIs and compliance with SLAs.
  • Compile project reports, to ensure all identified stakeholders are aware of timeframes for data migration projects.
  • Participation in organizational AI efforts

  • Provide support after the migration is completed, including data adjustment, user training and addressing any data r system issues that emerge.
  • Ensure that data migration activities comply with data migration policies, privacy laws and security standards.
  • Evaluate internal processes for efficiency, problems, and inaccuracies.
  • Aligning data migration projects with the correct handling, processing, and cleansing of data
  • Support the implementation of identified key controls and established risk mitigation procedures.
  • Work closely with IT and other relevant teams to address data migration issues or challenges.

DESIRED SKILLS AND EXPERIENCE

Minimum requirements:

  • Bachelor’s degree in computer science, Information Technology or similiar
  • 6-8 Years’ experience in the ICT Domain of which at least 4 should be focused on Data.
  • Knowledge of programming languages like SQL, Python, Java, or R is valuable for manipulating and
    transforming data, as well as for scripting ETL processes.
  • A solid understanding of data management principles, including data governance, data quality, data
    modelling, and data architecture, is essential. This includes knowledge of relational databases, data
    warehouses, data lakes, and ETL (Extract, Transform, Load) processes.
  • Experience with data warehousing concepts and technologies is important for designing,
    implementing, and maintaining data integration solutions. This includes knowledge of dimensional
    modelling, star, and snowflake schemas, and OLAP (Online Analytical Processing) techniques.
  • Understanding of data security principles and compliance regulations (such as GDPR, HIPAA, or CCPA) is crucial to ensure that data integration processes adhere to legal and regulatory requirements.
  • Experience with project management methodologies and tools can be beneficial for planning,
    executing, and monitoring data migration projects, ensuring they are completed on time and within
    budget.

  • Postgraduate Qualification in the Information Technology environment.

Data Integration Specialist

POSITION OVERVIEW:

The incumbent will be responsible for the strategic planning, development, and implementation of techniques for merging data from various sources into a cohesive, understandable, and useful format. As well as ensuring that data flows seamlessly between systems, maintaining data integrity and supporting the organisations objectives

RESPONSIBILITIES:

Data Integration/Quality and Architecture

  • Develop and implement data integration solutions to ensure seamless flow of data between disparate systems, databases, and applications.
  • Responsible for mapping data fields from source systems to target systems, transforming data as necessary to ensure compatibility and maintain data quality.
  • Design build and manage ETL (Extract, Transform, Load) processes to efficiently transfer data between systems.
  • Develop workflows, scripts or use ETL tools to automate data movements and transformations.
  • Implement processing tools to ensure data quality and integrity throughout the integration process,
    including data cleansing, duplication, and validation.
  • Continuously monitor and optimised data integration processes to improve efficiency, reliability,
    and performance, ensuring timely and accurate delivery of data to end-users
  • Contribute to the development of strategies to improve data integration, analysis and reporting
    processed within across departments/stakeholders.
  • Responsible for designing and implementing data architecture that supports efficient integration,
    transformation, and storage of data across various systems and platforms.
  • Integrate various software systems, applications, and APIs to facilitate data exchange and
    interoperability across the organization.

Human Resource Business Partner

POSITION OVERVIEW:

Responsible for aligning HR strategies with the overall business objectives, all while staying abreast of evolving regulations and industry-specific standards. Ensuring the attraction and retention of qualified talent, facilitating their onboarding and development, and promoting a safe and harmonious workplace.

RESPONSIBILITIES:

Human Capital Management

  • Partner with line managers to implement end-to-end people management processes and provide
    day-to-day operational support in the management thereof (including, but not limited to talent
    acquisition, reward and recognition, development, performance-, talent- and change
    management, employee relations)
  • Ensure that human resources best practices are upheld, and performances communicated
    throughout the division.
  • Identify and deliver continuous improvement initiatives to enhance employee performance and wellbeing.
  • Build, support and maintain healthy, diverse internal and external relationships to ensure
  • achievement of division goals.
  • Foster a positive workplace culture by promoting open communication, resolving conflicts, and
    addressing employee concerns.

  • Prepare offers to successful candidates.
  • Implement and manage the onboarding programs to integrate new hires into the organization effectively.
  • Manage the relocation process internal changes or new hires.
  • Support the implementation of performance management contracting and reviews.
  • Support the allocated departments with the coordination of personal development plans, learning and development needs.
  • Manage the offboarding process, ensuring these align with the set procedures.

Reporting/Data Compilation

  • Maintain accurate and up-to-date employee records and HR information.
  • Prepare HR reports and metrics to track key HR indicators and support decision-making processes.

  • Draft and send monthly EE, Payroll and Training reports to Group HR
  • Monthly overtime, labour and wage reports to the GM and department managers

  • Support the allocated departments with managing employee relations issues i.e. grievance and
    discipline.
  • Address all HR related queries within the business’ policy and procedural framework.

DESIRED SKILLS AND EXPERIENCE

Preferred

  • NQF Level 8 Human Resources Management or Industrial Psychology Fields
  • 8 Years of HR generalist experience
  • Knowledge of the higher education sector and/or public sector
  • Knowledge and understanding of the NSFAS Act and PFMA

Minimum requirements:

  • NQF Level 7 Human Resources Management or Industrial Psychology Fields or similar
  • 5-7 Years’ experience in Human Resources, with a focus on HR business partnering.
  • Strong knowledge of SA Legislative requirements
  • Intermediate Knowledge of the higher education sector
  • Understanding of HR value chain and processes
  • Proven ability to manage multiple priorities.
