Perform apprenticeships administration


• Receive and acknowledge Apprenticeship applications, agreements and enrolment forms
• Verify for completeness and correctness prior to capturing and notify stakeholders where incompleteness/incorrectness is detected
• Capture Apprenticeship applications, agreements and enrolment forms
• Capture Apprenticeships agreements and enrolment forms
• Generate Apprenticeships payments
• Submit grant claim forms to host companies for verification and authorisation
• Compile Apprenticeships grant payment packs
• Follow up on outstanding Apprenticeships grant claim forms
• Attend to Apprenticeships queries
• File Apprenticeships documentation


Perform learning programmes and Internship administration


• Receive discretionary grants applications
• Receive and verify enrolment forms
• Follow up on outstanding Learning Programme Grant application documentation
• Capture Learning Programme agreements and enrolment forms
• Attend to Learning Programme grant payment
• Capture Internship Completions
• Attend to Internship queries
• File Internship documentation


Perform trade test


• Receive Trade Test applications from host companies
• Compile and forward Trade Test application packs to Indlela or Trade Test Centre
• Follow up on Trade Test dates with Trade Test Centre and notify host companies
• Notify applicants of the results
• Request for certification
• Receive, capture and forward Trade Test results and certificates to host companies
• Receive Proof of Payment from Finance and submit to host companies
* Perform administration relating to TVET colleges placement
• Receive discretionary grants applications
• Receive and verify enrolment forms
• Follow up on outstanding Learning Programme Grant application documentation

• Capture Learning Programme agreements and enrolment forms

Payments
• Link learners and grant forms to the company
• Check budget availability
• Check accuracy of learner information on the system
• Make follow up with companies where necessary
• Register non-funded learners
• Create grant claim form
• Create payment pack
• Create payment batch on the system
• Check credit report information against the moderation report information
• Check contract on the system (MIS)
• Send proof of payment to companies
• Capture Discretionary Grant applications forms
• Scan and file learner enrolment forms


General Administration
• Perform skills planning administrative function as and when required
• Perform any additional administrative functions as and when directed by the supervisor
• Retrieve, compile and submit documents for audit purposes
• Keep record of all documentation received
Experience and Qualifications
• Grade 12 with a Diploma in Public Administration
• 1 to 2 years’ experience as an administrator
• Sound knowledge, understanding and experience of Skills Development Act, Skills Development Levies Act, National Skills Development Strategy/Plan, Public Finance Management Act, National Treasury Regulations and other applicable regulations, policies and strategies
• Understanding of Record Management systems and archival best practices
